Massachusetts General Hospital Pathology Installs RICAR for Requisition Management and Workflow

Boston, MA--Massachusetts General Hospital installs RICAR and implements Workflow (FreeWf) at two more locations, in addition to the Massachusetts General Core Laboratory.

Freedom installed its RICAR (Record Image Capture And Retrieval) software suite for requisition management in the Core Laboratory of Massachusetts General Hospital in August 2012. The implementation has helped streamline operations by reducing paper records and allowing access to information from multiple sites. In June 2013, Massachusetts General Hospital expanded the RICAR implementation to include the Microbiology Laboratory, Revere Health Center, Yawkey Center lab, and the Chelsea Health Center.

Each area is now scanning requisitions immediately after processing. Requisitions are labeled with an accession number using a Sunquest Lab Information System generated barcode. Freedom's scanning software, FreeScan, reads the document's barcode, and it is then almost immediately available for retrieval by accession number in Freedom's viewing application, FreeView. Freedom's technical team worked with Massachusetts General Hospital IT staff to create a link between Sunquest and RICAR. Every four hours, an interface file is sent from Sunquest and processed by RICAR, which includes all relevant demographic information related to the accession number. As soon as this file is received, documents are then retrievable by a variety of search criteria.

Along with the scanning deployment, the Microbiology laboratory has chosen to implement Freedom's workflow and business process management solution, FreeWf (Workflow). The Microbiology department will be using Workflow for quality assurance checks.

After processing, each requisition in Micro is manually checked against data for the accession in Sunquest to ensure that all information is correct. Since all requisitions are now scanned, the quality assurance check once done by paper can be completed using Workflow. The implementation of Workflow across these two sites not only means automation of many previously manual processes, but it also provides management staff with a variety of reporting tools. From the time the requisition is scanned to the time its processing is complete in Workflow, a comprehensive audit trail of the document is created. Productivity reports show real time statistics of employee efficiency as well.
