Bend Memorial chooses Freedom Imaging's RICAR software suite as its electronic content management solution

April 2011, Ann Arbor, MI: Bend Memorial Clinic insources it's physician practice billing department and chooses Freedom's RICAR electronic content management software with its electronic remittance advice (ERA/835) processor FreeX12 using a per user per month licensing agreement.

Bend Memorial Clinic of Bend, OR. recently chose to install Freedom Imaging’s billing solution, FreeX12 Processor, an extension of Freedom’s content/document solution, RICAR (Record Image Capture And Retrieval). RICAR is a fully scalable document and content management solution that is easily modified to fit the needs of any type of business. RICAR processes and manages content and documents of all types, including explanations of benefits and patient charge sheets. RICAR is a software suite that can be utilized among many fields and across every department. RICAR also provides users with a complete audit trail, making regulatory compliance effortless.

FreeX12 Processor presents 835/ERA files in a human-readable EOB (Explanation of Benefits) statement. Information within 835 files is captured and then presented at two different levels—check and patient. At the check (or batch) level, information  is automatically indexed by numerous fields including payment date, payment method, check number, check amount, payer name, provider name, provider number, etc.

At the patient level, information from the electronic file is displayed for each individual patient. It too is indexed and searchable by fields such as payment date, patient’s first and last name, subscriber ID, patient account number, etc. Not only is each patient remit easy to search and find, but it is also displayed individually. Bend can throw away the Sharpies, since redaction of other patient data is completely unnecessary. Rejections and denials are automatically placed into workflow queues based on denial/reason codes, thus automating working denials. The amount of time saved by the functions of FreeX12 processor will reduce Days’ Sales Outstanding and processing time for secondary and tertiary billing.

RICAR can be installed in a variety of ways. Traditionally it is installed on-premises via a LAN, WAN, or VPN connection. RICAR installation is also available via Freedom’s SAS 70 certified Cloud network. The installation of RICAR at Bend utilizes a combination of both traditional and Cloud methods. Bend Memorial Clinic has chosen to install RICAR on a local server, and back up the server and data to the Cloud. Bend’s documents are backed up in two collocations, one in Ann Arbor, MI, the other in northern Michigan making it easier for Bend’s IT Resources to plan for disaster recovery.

The components of the RICAR system installed at Bend Memorial Clinic include:

• FreeScan access for capturing documents via scanner
• FreeImport for importing any non-scanned file types into the management system such as Word, Excel, PDF documents, Faxes, JPEGS, WMV and MP3 files.
• FreeView access allowing for less than three second document retrieval from Virtual File Cabinets straight to desktops.
• FreeWf access for assigning documents specific indexes for fast retrieval.
• FreeReports access for reporting productivity, document access and statistical activity.
