Doctors Lab Inc., Division of Solstas Laboratories, Installs RICAR and FreeX12 to Automate Billing

March 2011, Ann Arbor, MI - Solstas/DLI implements Freedom's RICAR software with its electronic remittance advice (ERA/835) processor, FreeX12, and its laboratory billing workflow processor, FreeWf.

Solstas Labs recently acquired Doctor’s Laboratory, Inc. (DLI) of Valdosta, Georgia.  Upon acquisition, Solstas immediately implemented Freedom’s RICAR software suite for scanning, archiving and workflow of documents.  RICAR replaces Optimaxx, the MedPlus document scanning and archiving system.

Solstas implemented a similar RICAR system in many of their recently acquired laboratories. Scanning takes place at the laboratory.  The images are then imported by means of Virtual Private Network (VPN) into FreeWf, Freedom’s workflow solution, for billing.  With the options of being installed over LAN, WAN, or even in the Cloud, RICAR’s versatility allows organizations to conduct their business in the most efficient and cost effective manner possible.

The inner workings of a laboratory’s billing system can often be mystifying.  From front end billing to back end processing, each laboratory has a complex method that works paper through the hands of many billers.  Billers are usually equipped with rubber fingers, black permanent markers, physical inboxes (or “buckets” as they are more fondly known), and stress balls to process mountains of papers ranging from claims to explanations of benefits.  Freedom’s FreeX12 Processor eliminates the need for all of these things.

FreeX12 Processor offers a simple solution for the headaches of billing.  FreeX12 automatically processes 835 Health Care Claim/Advice files - also known as Electronic Remittance Advice/ERA files.  Insurance companies and clearinghouses send these files to providers as a replacement for paper Explanations of Benefits (EOBs).  A downfall with the introduction of 835/ERA files is they have hindered secondary and tertiary billing and other revenue cycle management tasks.  Patient information is lumped together in a batch with other patients’ information.  If secondary/tertiary billing is necessary, the biller has to print and manually redact everything but the selected patient’s information.  FreeX12 presents patient information at a batch and patient level. Patient level processing allows billers the option of printing each individual patient’s information separately making manual redaction and wasted extra printouts a thing of the past.

In tandem with Freedom’s workflow application, FreeWf, the Revenue Billing Cycle is shortened and Days Sales Outstanding is reduced.  FreeX12 automatically places rejections in workflow queues based on denial codes.  The process of “working denials” is now completely automated.  To add to the ease of billing, a complete audit trail is created in FreeWf.  Reports are generated daily for managers to monitor billing performance, review statistics regarding number and type of reason codes processed and many others to ensure the billing process is operating at peak efficiency.
