Ann Arbor, MI – October 2011: PCC, An Ambulance Billing Service installs RICAR at its two locations in South Dakota and Iowa.

In October, the Freedom team brought RICAR to the heart of the Midwest as they welcomed PCC, An Ambulance Billing Service as their newest client. PCC has two central locations - Castlewood, South Dakota and West Bend, Iowa. A new server for RICAR was installed at the West Bend location. Using a Virtual Private Network (VPN), the Castlewood location has access to the RICAR applications as well. Freedom set up shop with the employees in West Bend for implementation and training. The Castlewood crew was able to join training sessions via video conferencing.

Management at PCC collaborated with Workflow experts at Freedom Imaging Systems to create a completely customized and automated process to electronically work these trip reports through the billing process. Through a combination of scanning, faxing and importing and with the help of RICAR modules FreeWf and FreeView, the movement of these documents from charters to billers is automated and accelerated.

PCC is a billing company serving nearly 150 ambulance and fire companies. As patients are treated at the scene of an emergency where ambulance or fire staff is deployed, a “trip report” is created. This “trip report” contains patient demographic information, health information, insurance information and information regarding the services performed at the time. That’s a lot of information! All of this is necessary to enter into the billing system to properly bill the patient or his or her insurance. Ideally, all of the necessary information is in this “trip report” and the patient can be billed quite easily. Trip reports are often missing many of the required elements for billing. They can be filed away after initial data entry into the billing system, but then have to be referenced or modified in order to reflect changes that affect billing. Storing these trip reports as paper documents and constantly referring back to them is costly and time consuming. Now, if a trip report is missing information, it is held in a staging queue in FreeWf until the charter obtains the missing information. At this point the charter sends the trip report to the biller with the click of a button, and the billing process continues. By digitalizing these reports and making them available, searchable and sendable for PCC employees in seconds from their desktops, PCC is increasing productivity and revenue potential while decreasing day sales outstanding.

Along with using the RICAR system for trip reports, PCC will also use the system for Human Resources documents, EOBs, and 835/ERA files. For the 835/ERA files, PCC is testing Freedom’s newest software, FreeX12 processor. The FreeX12 Processor will automatically and electronically sort PCC’s 835/ERA data by adjudication code on a patient level, helping tremendously in the secondary billing process.

PCC is a member of the HBMA, the Healthcare Billing and Management Association. HBMA is a trade organization founded in 1993 that represents third-party medical billers.
