Albuquerque Center for Plastic Surgery Installs RICAR SMB for Patient Chart Management

Ann Arbor, Mich.—March 2012: Freedom Imaging Systems, a leading content management and solutions provider, is pleased to announce the Albuquerque Center for Plastic Surgery, of Albuquerque, New Mexico has chosen to install Freedom’s RICAR SMB suite as its document management solution for Patient Charts.

RICAR SMB (Record Image Capture and Retrieval for Small and Medium Businesses) is a cost-effective document and content management software system designed for small to medium sized businesses. RICAR SMB is an out-of-the-box solution that can be applied to nearly every department in a business. Virtual file cabinets are created for each department. These file cabinets are tailored based on the needs of the company. Examples include Human Resources, Accounts Receivable, Accounts Payable, and Patient Charts.

The Albuquerque Center for Plastic Surgery (ACFPS) is the home office of Dr. William Loutfy, a board certified plastic surgeon and dentist. Serving patients since 1997, ACFPS has ample experience helping people attain goals of becoming their ideal self.

With over 15 years of experience comes over 15 years of patient charts. Before the implementation of Freedom’s RICAR SMB, these charts were stored in a variety of different ways. In the past ACFPS has sent patient charts offsite for scanning, saving PDF images in folders under patient names organized by year and month. While these charts are in a digital format, they are not exactly “easily” retrievable. Current patient charts reside in filing cabinets in the office. While looking for a patient’s chart, ACFPS employees found they more often were searching for their own patience—as the search process was tedious and time consuming.

With the implementation of Freedom’s RICAR SMB system, ACFPS employees import charts or scan using a multi-function printer. Charts are then available for digital viewing, printing, redacting, emailing, etc. Scanned charts are linked with indexing information using a data feed from the center’s practice management system, Inform and Enhance. RICAR SMB allows ACFPS to consolidate all patient charts into one system, allowing for easy search and retrieval using search criteria such as a patient’s first or last name or birthdate.

This minimizes the time spent searching for a patient’s chart across various storage systems. Now, ACFPS employees can search for and view a patient’s information without having to leave their own desk.

ACFPS will also utilize the other Virtual File Cabinets associated with RICAR SMB. ACFPS senior staff can use the system to store various confidential documents including employee information, tax information, and accounts payable/receivable information. These VFCs are secure and only made available to administrators. Also useful to administrators is the system’s built-in audit trail, allowing ACFPS to comply with federal and corporate compliance initiatives.

Freedom’s RICAR SMB suite is comprised of:

• FreeScan access for capturing documents via scanner
• FreeImport folders for importing any file types into the management system including TIFF, PDF, Word, Faxes, WMV and MP3 files.  Files can be dragged and dropped into the FreeImport folders or scanned to the folders with multifunction printers
• Six (6) PreConfigured Virtual File Cabinets (VFCs) to store documents online with preconfigured document indexes for quick document retrieval.
• FreeView access allowing for less than three (3) second document retrieval from Virtual File Cabinets straight to desktops.
• FreeWf access for assigning documents specific indexes for fast retrieval.
• FreeReports access for reporting productivity, document access and statistical activity.
