A laboratory requisition was the first document scanned with Freedom software back in 1995. The clinical laboratory environment is no stranger to the Freedom team. Our original document capture solution was developed for a requisition but quickly expanded into the other areas of the clinical laboratory including: billing, customer service, purchasing, accounting, contract administration, phlebotomy and human resources.
Today, requisitions are scanned, queued for billing data entry (BDE) and entered or automated into the workflow process — think revenue cycle management (RCM).
Laboratory requisitions are the nearly perfect document for the capture process and Freedom designed a solution for your independent or outreach laboratory. Laboratory requisitions are scanned immediately following laboratory data entry ("Accessioning" or "Specimen Processing") utilizing barcode labels that are affixed to the laboratory requisitions and their attachment(s) and typically consist of the laboratory's accession number, requisition number or other singular identifier. Freedom's commercial grade scanning application, FreeScan, quickly converts paper documents to digital forms and automatically indexes the requisitions at a rate of over 150+ pages per minute. Documents are archived in a Freedom Virtual File Cabinet (VFC) that supports the Health Insurance Portability and Accountability Act (HIPAA) by providing multiple layers of security and document-level access permissions.
Optical Character Recognition can be used for Forms Recognition and to automatically identify and classify document types (i.e., ABNs) for specific business process management routing.
Once scanned and indexed, a HL7 file from the laboratory's information system (or multiple systems) can be utilized to provide additional patient, client and testing information and populated into the imaging database. Once the process is complete, all laboratory users can search and retrieve laboratory requisitions within a couple of seconds via the accession number and any combination of patient information garnered from the HL7 file. Once captured, everyone with the proper security credentials and an accession number can find and retrieve any requisition and its attachments within seconds of hitting "Search" in FreeView. To even further simplify the search, Freedom accepts a HL7 file to add other search fields including Patient Name, Date of Birth, Date of Service and Client information that allows users to search with part or all of the criteria. Narrow down difficult to find data entry errors using date ranges and wildcards and easily search all the patients sent in by any physician.
At time of capture (scanning), we also start the requisition in a billing work queue that is designed to mirror the roles and rules process currently defined in your laboratory billing department. Requisitions are electronically queued for billing data entry (BDE) creating a process that begins immediately after scanning.
